How to Schedule an Appointment
Once you have accepted the appointment, you now need to schedlue it in and send it to the operative.
Open the Operative Scheduler

it will appear on your scheduler on the left-hand side.
There are various statuses the appointment can go through and these will be highlighted along to the top of the appointment on the scheduler.

| Allocated | Orange | Allocated to the Operative but not been dispatched to their device. |
| Booked | Pink | Booked to the operative and works are ready to be undertaken |
| Travelling | Green | Operative traveling to site to carry out the works |
| In Progress | Green | Works are in progress |
| Completed | Dark Green | Works have been completed |
| Failed | Red | Works cannot be undertaken and will need to be re-planned. |
SLA
All appointments are sorted by their 'SLA due by' date and a timer, in hours, will show how long this has before the SLA is breached. If you are over your SLA the appointment will be shown in red.
If you need more information regarding the appointment, right-click on it and you will get the option to open the job details.
Scheduling Appointments
When you are ready to plan the appointment you left click on the appointment to pick it up and drag it onto the planner then drop it to the operative carrying out the work, at the time and date you want. They will be classed as the ‘Lead Operative’.
This can still be moved around. All appointments default to 1 hr, however if this is going to be longer you can extend the booking by dragging the end of the appointment to the time you think this will end.
When you are happy with when the work are scheduled you need to book the appointment.
If you right-click on the appointment a menu will appear, this will allow you to:
- Open - lets you open and view the appointment
- Book - lets you book the appointment to that person and allows them to view it on their handheld
- Unallocate - moves the appointment off the planner back to the left-hand list ready to be scheduled
Booking
When you book an appointment you will be asked to add in any deployment notes which will be sent to the operative.
Once booked the appointment will be shown on the operatives handheld, in the ‘My Appointments’ section, ready for the works to be undertaken.
Missed SLA
If you have missed booking the appointment within the SLA timeframe the appointment will:
- Turn red to show that you have missed the SLA
- When booking the appointment you will be asked to fill in the reason and any notes. Please note you will not be able to book the appointment without filling this in.
Additional Operatives
To add additional operatives to a job, if more than one person is required to undertake the works you can add attending operatives. To do this:
- Go to the appointment on the scheduler
- Right-click and select ‘Book’
- Under ‘Additional Operatives’ add in the additional people who will be attending.
- On the scheduler, this will be shown as a ghost appointment and will move with the main appointment.
